Understanding Roles and Permissions
Roles and permissions define what each person in your organization can see and do inside Grantable — from editing projects to managing billing or inviting new members.

Why Roles Matter
Grantable’s permission system ensures that every user has the right level of access for their role. This helps teams stay organized, maintain data security, and prevent accidental changes to critical information.
💡 Think of roles as layers of responsibility — from viewing and commenting to full organization management.
Role Types and Capabilities
RoleDescriptionKey Capabilities | ||
Admin | Oversees the entire organization’s workspace | Manage billing, invite or remove users, change roles, edit all content |
Full | Core collaborators who write, edit, and use AI | Create and edit projects, use AI features, upload files, manage documents |
Collaborator | Team members who contribute but don’t use AI | Create and edit projects, upload files, collaborate on documents (no AI access) |
Viewer | Read-only participants | View projects, documents, and comments but cannot edit or upload |
💡 Collaborator seats cost 25% of a full seat. Viewer seats are always free.
How Permissions Work
Admins can modify all settings, billing, and organizational data.
Full and Collaborator roles can work on grants, upload files, and share documents.
Viewers can observe progress and comment when commenting is available.
Only Admins can invite, remove, or change roles for other users.
💡 Permissions are organization-wide, so a user’s access level applies across all projects within that organization.
Managing Access
You can manage all team roles under Settings → Team.
To add someone, click Invite User and assign their role.
To change someone’s access, use the dropdown next to their name.
To remove a user, select Remove or downgrade them to Viewer.
💡 Keeping your team list current helps protect sensitive data and ensures that only active collaborators have editing access.
✅ Key takeaway: Roles and permissions keep your workspace secure and organized. Assign roles thoughtfully to balance collaboration and control — giving each teammate the right level of access for their responsibilities.
