Why Files Matter

Grantable’s AI writes best when it understands your organization’s real voice and substance. The Files Library is where you upload external materials like past proposals, reports, or budgets so the AI can reference them while drafting.

However, over time, Grantable itself becomes your richest source of truth — every new document, template, and response you create adds to the context the AI can draw from.

💡 You don’t need to import everything on day one. Even a single well-written grant application is enough to start getting great results.


How the AI Uses Files

When you attach files to a document or project, Grantable automatically analyzes the text inside them to:

  • Reflect your organization’s authentic language and tone

  • Reference facts, figures, and program descriptions accurately

  • Reuse relevant sections or phrasing to maintain consistency

This process happens securely within your workspace — Grantable never uses your files to train external models.


Bringing Content Into Grantable

There are two ways to connect information to your AI prompts:

  1. Using the @ icon — locate and attach existing content that’s already in your Grantable account (documents, notes, or uploaded files).

  1. Using the paperclip icon — upload or import new external files from your computer or connected storage.

💡 The @ icon pulls from what’s already inside Grantable. The paperclip brings in something new.


Best Practices

  • Start small: upload one or two strong examples of past work instead of your entire archive.

  • Bring in new materials as needed for upcoming applications — this keeps your workspace focused and uncluttered.

  • Keep file names clear and consistent so they’re easy to find later.

  • Favor text-based content (Word or accessible PDFs) for the best AI performance.

  • Over time, rely more on content created within Grantable — it’s automatically structured and easier for the AI to use.
