Using the Calendar and Tasks

Keep track of upcoming grant deadlines, internal milestones, and team assignments with the Calendar and Tasks features in Grantable.

Purpose

The Calendar and Tasks features help you visualize deadlines and manage work across your organization. Tasks can represent grant deliverables, application steps, or internal follow-ups — all of which appear on your workspace calendar for an at-a-glance overview.

💡 Think of the Calendar as your organization’s shared timeline — where all your work comes together in one view.


Opening the Calendar

  1. From the sidebar, go to Calendar.

  2. You’ll see a month-by-month view of all tracked items.

  3. Use the arrows beside the month name to move forward or backward.

At the top of the page, you can:

  • Toggle visibility between Applications and Tasks.

  • Filter by Assignee to view only items assigned to a specific team member.

  • Click Sync Calendar (Beta) to connect with an external calendar (e.g., Google Calendar or Outlook).

💡 Syncing your calendar allows deadlines and tasks from Grantable to appear in your external calendar — this feature is in beta and may evolve.


Adding a Task

  1. Click + Add task in the top-right corner of the Calendar view.

  2. Enter:

    • Task name — e.g., “Submit Letter of Intent”

    • Due date

    • Assignee (optional)

    • Assign record (optional)

    • Description or notes (optional)

  3. Click Save to add it to the calendar.

Tasks appear as color-coded dots under their due dates. Click a task to open and edit its details anytime.

💡 Tasks are workspace-wide — they can represent any kind of action item, not just grant submissions.


Viewing Applications and Tasks Together

You can view both application deadlines and tasks at once.

  • Applications appear in blue.

  • Tasks appear in orange.

Click any item to open its related record — for example, an application will take you to its corresponding opportunity or funder.

💡 This combined view helps you see grant deadlines and internal actions on a single timeline.


Filtering and Assigning Work

Use the Assignee filter at the top of the Calendar to focus on work assigned to specific team members.
Each user sees the same shared calendar, but can filter for their own tasks or deadlines.

💡 Keeping tasks assigned ensures accountability and helps balance workloads across your team.


Tasks in Other Views

You can also access and manage tasks directly from the Tasks area in the sidebar.
From there you can:

  • View all tasks in a list.

  • Filter by due date, assignee, or completion status.

  • Mark tasks complete or delete them.

💡 Updating a task in the Tasks area automatically updates the Calendar — they’re fully synchronized.
