Purpose

Calendar Sync (Beta) allows you to view Grantable’s deadlines and tasks alongside your existing calendars. This helps you track everything in one place while keeping Grantable as the source of truth for grant-related work.

💡 Think of this as a one-way mirror — you can see your Grantable events in your personal calendar, but external changes don’t affect Grantable’s data.


Before You Begin

  • Calendar Sync is currently in Beta — features may evolve as we improve the integration.

  • You’ll need an external calendar account (Google Calendar, Outlook, Apple Calendar, etc.).

  • Syncing is read-only — Grantable shares events outward; it does not import from other calendars.


How to Enable Calendar Sync

  1. From the sidebar, go to Calendar.

  2. Click Sync Calendar (Beta) in the top-right corner.

  3. Grantable will generate a unique, secure calendar link (an .ics feed).

  4. Copy this link.

  5. In your external calendar (e.g., Google Calendar):

    • Choose Add calendar by URL.

    • Paste the .ics link.

    • Click Add.

💡 It may take a few minutes for the events to appear in your external calendar.


What Gets Synced

  • Application deadlines — pulled automatically from your Applications and Opportunities.

  • Tasks — all upcoming tasks with assigned due dates.

  • Assignees — appear in event descriptions for context.

💡 Completed or deleted items in Grantable are automatically removed from the sync feed on refresh.


Removing or Resetting Sync

To disconnect your calendar:

  1. Return to Calendar in Grantable.

  2. Click Sync Calendar (Beta) again.

  3. Choose Reset link or Disconnect.

    • Resetting creates a new unique .ics URL.

    • Disconnecting disables all sync activity.

💡 If you suspect a link was shared outside your team, reset it — the old URL will stop working immediately.


Limitations (Beta)

  • Sync is one-way only (Grantable → your calendar).

  • Some calendar apps may cache events for several hours before refreshing.

  • Currently, only tasks and applications appear — notes, funders, and other records are not included.

💡 For now, use sync to stay aware of deadlines, not to manage task status. All task edits should still happen in Grantable.
