The Tasks Area
The Tasks Area gives you a list view of all your organization’s tasks — helping you track deadlines, assignments, and linked grant records in one place.

Purpose
Tasks help your team stay organized across the grant lifecycle — from early research to submission and follow-ups. Each task appears here so everyone can see what’s coming up and who’s responsible.
💡 Think of Tasks as your shared, workspace-wide to-do list — fully connected to your Calendar.
Layout
Top Bar
At the top of the Tasks page, you’ll find:
Search workspace — search across your workspace for tasks by name or keyword.
+ New task — create a new task directly from this view.

Table of Tasks
Each task appears as a row in the table, grouped under headings like Upcoming or Completed, depending on its due date and status.
Column | Description |
Task | The name of the task (click to open or edit). |
Due date | Shows time remaining until the task’s due date (e.g., “in 8 days”). |
Record | Displays the linked record (Application, Opportunity, or Program). If blank, the task isn’t linked. |
Assigned to | Shows the member or members responsible for the task. |
Actions | A three-dots menu (…) to edit or delete the task. |
💡 Tasks are automatically grouped by status — so “Upcoming,” “Completed,” or overdue items are easy to scan.
Creating a Task
Click + New task in the top-right corner.
Enter:
Task name — e.g., “Esperanza Draft Due.”
Task description
Due date.
Assign record (optional) — link to an Application, Opportunity, or Program.
Assign user(s) (optional).
Notes (optional).
Click Save.
The task appears immediately in the list and will also display in the Calendar.

💡 Task details sync across all views — updating one updates the other automatically.
Editing or Completing a Task
To edit: click the task name or open the ⋮ menu → Edit task.
To mark complete: click the checkbox beside the task name.
The task moves under Completed and is no longer shown in active views.
💡 Completed tasks stay available for reference and reporting.
Deleting a Task
Click the ⋮ menu → Delete.
Confirm deletion when prompted.
💡 Deleting removes the task from both the Tasks list and Calendar. This action can’t be undone.
Best Practices
Keep task names short and specific.
Assign at least one user per task for accountability.
Use linked records to tie work to the right grants or funders.
Review tasks weekly to stay ahead of upcoming deadlines.
